The Next Office Coordinator provides technical and administrative support for an all partners co-located at Next. This position enhances communication and knowledge exchange among programs/partners facilitating integrated service delivery. The Office Coordinator possesses the basic knowledge of all Next programs, in order to effectively direct and assist job seekers, local business and coordinate regional partnerships.  This critical role provides key front office support, project planning and coordination, and social media marketing for our Next Program.

This is a full time position, working in our office in Vancouver, WA.

ABOUT THE JOB

The major responsibilities of this position include, but are not limited to:
  • Administration: Coordinate office support services including maintaining scheduling and event calendars, maintain and repair office equipment/machines; monitor office security and develop marketing materials to advertise programs.
  • Program Support: Approve applicant registration packets, coordinate outreach activities and service plans to support program models.
  • Inventory: Monitor inventory levels, research options and procure office supplies and equipment, and for other business needs. 

  • Safety: Monitor the facility to ensure that it is safe, secure, and well-maintained. Serve on the center’s Safety Committee and serve as the location’s Career Path Services’ Safety Officer. 

  • Filing: Set up and manage paper or electronic filing systems, record information, update paperwork, or maintain documents, such as correspondence or other materials.   

  • Project Coordination: Manage projects and contribute to committee and/or team needs. Provide general administrative support functions including taking meeting minutes, filing, forms creation and up-keep, and special projects coordination. 

  • Front End Support: In-person and phone reception duties for all individuals contacting Next and partner staff, including clients, employers, and other interested parties.   

  • Other Support: Provide support functions including copying, filing, scanning, faxing and mail sorting. 

  • Social Media Marketing: Use our media channels to market for Next (Including but not limited to Instagram, Facebook, Tik Tok, LinkedIn and website) in conjunction with Next Branding guidelines.

EXPERIENCE/POSITION REQUIREMENTS

Required
  • A High School Diploma or GED.  

  • Minimum 3 years experience in an administrative services environment including office coordination and IT administration and support.  

  • Intermediate to advanced level of computer knowledge and experience to include Windows, Microsoft Office Suite and Adobe Acrobat. Demonstrated knowledge and experience in installation and troubleshooting.

  • Top communication skills, both oral and written. 

  • Must be able to work in a culturally diverse and fast-paced environment, and demonstrate a commitment to diversity, equity and cultural competency. 

  • Proof of COVID-19 Vaccination
Preferred
  • Two-year college degree in IT, Administrative Services or a related field and three years related work experience in computer maintenance and security. 

  • Candidates who are bilingual (strong preference for Russian or Spanish)

  • Microsoft Server (MCSA) Certifications 

  • Demonstrated experience taking initiative, learning new skills quickly with minimal guidance, strong problem solving capabilities, and ability to work independently and address urgent issues. 

  • Demonstrated success working with people from a variety of backgrounds which may include disabilities, criminal history, homeless, family violence, poverty etc.

Job: Next Office Coordinator
Primary Location: Vancouver, Washington
Salary: Full Range: $51,000-78,000. Well qualified candidates may be offered up to $57,750 annual salary (DOE).
